Campaigns
A campaign runs a batch of outbound calls automatically — perfect for calling a list of leads, sending reminders, running surveys, or following up at scale. You upload contacts, pick an agent, set a calling window, and HeyMello dials through the list for you with automatic retries.
Creating a campaign
You can create a campaign two ways:
- Upload a contact file — an Excel or CSV file (up to 10 MB). You can validate the file first to preview how many rows are valid and why any would be skipped, before committing.
- Provide contacts directly — a list of phone numbers with optional names.
You can also add more contacts to a campaign later.
Campaign settings
| Setting | What it does |

| Name | A label for the campaign. |
| Agent | Which agent makes the calls. |
| Calling window | Start and end time (e.g. 09:00–17:00) — calls only dial within this window. |
| Timezone | The timezone the window applies to (important when your list spans countries). |
| Max attempts | How many times to try each contact before giving up. |
| Retry delays | How long to wait before retrying a busy, no-answer, or failed call. |
| Scheduled start | Optionally schedule the campaign to start automatically at a future time. |
Personalization
Your contact file can include extra columns (e.g. first_name, appointment_date). These become {{placeholders}} your agent can use in its instructions to personalize every call.
Running a campaign
Campaigns move through a clear lifecycle:

- Start a pending campaign to begin dialing. (A short cooldown gives you a moment to cancel if you started it by mistake.)
- Pause and resume at any time.
- Cancel to stop it entirely.
- Re-run a finished campaign to clone it into a fresh one.
- Redial an individual contact manually if needed.
Tracking results
While and after a campaign runs, you can see:
- Progress — how many contacts are done, pending, or in progress.
- Outcomes — completed, busy, unanswered, or failed, broken down per contact.
- Analytics — connect rate, outcome breakdown, and average call duration. See Analytics.
- Export — download the full campaign and its call results.
Callbacks
If a contact asks to be called back later (“call me tomorrow afternoon”), the agent can schedule a callback. HeyMello works out the time, keeps it within your calling window, and dials them then. You can view, reschedule, or cancel scheduled callbacks.
Best practices
- Validate your file first. Fix bad numbers before launching.
- Set a sensible window and timezone. Don’t call people at 7am.
- Keep attempts reasonable. Two or three tries is usually plenty.
- Personalize. Use contact fields to make each call feel one-to-one.
