Team & roles

HeyMello is built for teams. Your organization is your shared workspace — it owns your agents, phone numbers, credits, and call history. You invite teammates into it and control what each can do.

Organizations

An organization (or workspace) is your company’s account. Everything you create lives inside it, and your data is isolated — no one outside your organization can see it.

Your organization profile includes your name, website, contact details, and billing country.

Inviting teammates

Invite people from your team settings:

  • If they already have a HeyMello account, they’re added to your organization straight away.
  • If they’re new, they receive an email invite with a link to set their password and join.

You choose each member’s role when you invite them.

Roles

RoleWhat they can do
AdminFull access — manage agents, numbers, team members, and billing.
WriteCreate and edit agents, run calls and campaigns, and review results.
ReadView agents, calls, and analytics, but not make changes.

New members join as Read by default (the safest setting) — promote them as needed.

Some sensitive actions, like adjusting billing credits or running data cleanup, are Admin-only. To protect your account, an admin can’t accidentally delete their own account or another admin.

Managing members

  • List everyone in your organization.
  • Update a member’s role or details.
  • Deactivate/remove a member who leaves — and reactivate them if they return.

Securing accounts with MFA

Every user can (and should) enable Multi-Factor Authentication:

  • Set it up with an authenticator app (Google Authenticator, Authy, etc.) by scanning a QR code.
  • You’ll get 8 one-time backup codes — save them somewhere safe in case you lose your phone.
  • After enabling, sign-in requires a 6-digit code (or a backup code).
  • You can regenerate backup codes or disable MFA (with your password) any time.

You can also review your login history — recent sign-ins with time, location, and device — to spot anything unfamiliar.
